PowCal is a desktop app for Google Calendar. None of your calendar or account data reaches us – this page lists what PowCal does send, and to whom. Just visiting our website? Here’s what it records.

In short

Who is responsible

Bachem Ventures GmbH, Kastanienallee 63, 10119 Berlin, Germany – hi@powcal.com.

Your calendar and Google account

PowCal shows Google Calendar in its own window: you sign in with Google directly, and your data travels between your computer and Google as it does in a browser, under Google’s privacy policy. PowCal’s own features run on your computer. It also asks Google Maps where your events take place, and one of Google’s servers (gstatic.com) whether you’re online, when a connection fails.

On your computer

PowCal keeps your settings, copies of what it looked up (people’s names, email addresses and pictures, places, forecasts), log files and crash reports on your computer – and, only if you choose, your Google password, encrypted by your operating system. Log files and crash reports are deleted after 30 days. Signing out doesn’t remove the rest – deleting PowCal and its folders does: on a Mac ~/Library/Application Support/PowCal, ~/Library/Logs/PowCal and ~/Library/Caches/velopack/PowCal, on Windows %APPDATA%\PowCal and %LOCALAPPDATA%\PowCal.

Legal basis: § 25(2) no. 2 TDDDG (needed for the features you use).

Settings sync

As soon as you sign in, PowCal keeps your settings and categories as a file in the hidden app data storage of each signed-in account’s Google Drive – under Google’s privacy policy, with no encryption of its own. Your other computers find it through any account they share, and it never reaches us.

Each computer has its own switch, “Sync Settings Across Your Computers” (Settings → Calendar → General). Turning it off leaves the file to your other computers. To delete it, turn sync off on every computer, then in Google Drive’s settings, under Manage apps, choose “Delete hidden app data” for “Calendar IPH (Unverified)”.

Legal basis: § 25(2) no. 2 TDDDG (part of the service you use), Art. 6(1)(f) GDPR (our interest in giving you the same settings on all your computers).

Weather

For each day’s forecast, PowCal sends the coordinates of where your calendar says you’ll be, rounded to about a kilometer, and the dates on screen to Open-Meteo (OpenMeteo GmbH, Switzerland – a country the EU recognizes as adequately protecting data). Nothing else from your calendar goes along. Like any web request, it carries your IP address, PowCal’s version, your operating system and possibly your language, and Open-Meteo keeps its logs for 90 days. On a day without a place, PowCal uses the surrounding days’ place, or your most frequent city.

Legal basis: § 25(2) no. 2 TDDDG (part of the service you use), Art. 6(1)(f) GDPR (our interest in showing the weather for where you’ll be).

Updates

PowCal checks for updates when it starts and every three hours by asking our server at powcal.com. Each check carries your IP address, PowCal’s version, your operating system and processor type – in rare cases also a random ID of your installation – and our server keeps its logs for 14 days. Updates are downloaded from GitHub (GitHub, Inc., USA, certified under the EU–U.S. Data Privacy Framework), which receives your IP address too.

Legal basis: § 25(2) no. 2 TDDDG (part of the service you use), Art. 6(1)(f) GDPR (our interest in keeping PowCal working and secure).

Error reports and usage statistics

PowCal sends us two kinds of short reports, each on unless you turn it off:

Every report also carries PowCal’s version and update channel, your operating system, processor type, language and the time. Never sent: anything from your calendar, your name, email addresses, account, calendar or event IDs, your organization’s name, your categories, web addresses, typed text or log messages. Reports carry no ID of you or your installation – each gets a new random one. Until a report is delivered, PowCal keeps it on your computer, deleting undelivered ones after a week, along with a few counters such as when you first used it and how long it ran that day.

Reports reach PostHog Inc. (USA) through stats.powcal.com and the network of Cloudflare, Inc. (USA). PostHog processes them on our behalf, under a data processing agreement, on servers in Frankfurt, and keeps them up to seven years – with your country, region, city and time zone, which it derives from your IP address before discarding the address. PostHog and its providers can access the data from outside the EU, including the USA, under the EU–U.S. Data Privacy Framework and the EU’s standard contractual clauses.

Legal basis: § 25(2) no. 2 TDDDG (keeping PowCal working and improving it), Art. 6(1)(f) GDPR (our interest in fixing failures quickly and knowing how PowCal is used, which covers your IP address and the location derived from it).

Your right to object

You can stop error reports, usage statistics, the weather and settings sync at any time, without giving a reason: in PowCal’s Settings, turn off “Send Error Reports”, “Share Anonymous Usage Statistics” or “Sync Settings Across Your Computers” under Calendar → General, or “Show Weather When Hovering Over Day Headers” under Calendar → Grid. PowCal stops at once and deletes what it hasn’t sent, or the weather data it stored – the synced file stays until you delete it. With settings sync on, the other switches reach your other computers too – sync itself is set on each.

To object to anything else we do on the basis of our legitimate interests, write to hi@powcal.com.

This website

Our web server for powcal.com and docs.powcal.com, hosted for us by Hetzner Online GmbH in Germany, logs each request – your IP address, the time, the page, where you came from and your browser – to keep the site running and secure, and deletes these logs after 14 days. The site sets no cookies, runs no analytics and loads nothing from elsewhere. The download buttons go through our server to the newest version on GitHub, which receives your IP address with the download.

Legal basis: Art. 6(1)(f) GDPR (our interest in a secure website).

Contacting us

If you email us, we use your message to answer you and keep it as long as the conversation needs, or as long as the law requires for business correspondence. Our email runs on Google Workspace (Google Ireland Limited) on our behalf, which can process it outside the EU, including the USA, under the EU–U.S. Data Privacy Framework and standard contractual clauses. Posts on our GitHub issue tracker are public, under GitHub’s privacy statement.

Legal basis: Art. 6(1)(f) GDPR (our interest in answering you).

Your rights

You can ask us for access to your data, to correct or delete it, to restrict its processing or to receive a portable copy, and you can object to its processing – write to hi@powcal.com. As reports carry no ID, we can’t tell which ones are yours (Art. 11 GDPR). You can also complain to a data protection authority – for us, the Berlin Commissioner for Data Protection and Freedom of Information, or the one where you live or work.

You aren’t obliged to provide any data, though the features relying on it can’t work without it. We make no automated decisions about you. The PowCal Helper browser extension collects nothing – see its own policy.

Changes

When PowCal or this website changes what it collects, we update this page and its date.
